Set up 2FA

Note

If you have lost your 2FA token or your phone or can no longer use it, please contact the Computer Group!

In order to provide secure access to the mail server, it is required to set up a two-factor-authentication (2FA). This is accomplished by logging in to https://mail.mis.mpg.de.

Please note, that this requires a 2FA app on your smartphone. If you look into the App Store of your device you can find a wide variety of apps for this purpose. However, the QR codes shown below lead to the app, which is already being tested and used by the IT staff.

If you are using an Android device, please use the following QR-Code for the App “freeotp”:

Note

If you instead (want to) use a hardware token provided by us, please contact the Computer Group.

Setup

If you just joined us here at the Max-Planck Institute for Math in science, your Log In Screen for Zimbra probably looks more like this:

In this Case, your Layout will be different, but the Steps to set up your 2-factor-Authentication are quite similar.

First, there will be a short Introduction on why it is so important these Days to secure access to your Mail Data. Once you are ready, please hit the ‘Begin Setup’ Button.

In the next Window, you will be asked to reenter your Password.

Since you already have selected a method for your 2FA, you can ignore this step and go to the next one directly.

Now, you will be shown a generated secret (or seed), which you have to enter in your preferred 2FA management software.

Depending on the App you have chosen, you will need the following data in addition to the secret:

  • Name: your Mail-Address

  • Issuer: MiS Webmail Zimbra

  • Secret: this is the field you can see below marked in red. enter the displayed code into the corresponding field in your app.

  • Type: TOTP

  • Algorithm: SHA1

  • Digits: 6

  • Period: 30s

Now you will see a six-digit-code on your smartphone. Please enter this code in the input box.

We recommend you save this code somewhere safe, just in case you lose your 2FA device.

Recovery Codes

In case you lose your 2FA device and also dont have the corresponding seed to login, you can use the recovery codes instead.

In order to find them, please go to Settings → Account → Recovery Codes
